HOW AI IS TRANSFORMING THE EVENTS INDUSTRY

Introduction to Artificial Intelligence in Event Management 

Artificial Intelligence (AI) has been making waves in various industries, and event management is no exception. The use of AI in event planning and management has the potential to transform the industry by providing a more efficient, personalised, and data-driven approach. 

But what exactly is AI and how can it be applied in event management? In simple terms, AI is the simulation of human intelligence processes by machines. It involves the creation of intelligent machines that can think and learn like humans, allowing them to perform tasks that would typically require human intelligence. 

In the context of event management, AI technology enables us as event planners, to automate tasks and processes that were previously performed manually. This frees up valuable time to focus on other critical and creative aspects of event planning. 

So how does (or how will AI as it develops) work in event management? Here are some key areas where it can be applied: 

1. Personalised Recommendations:

One of the most significant advantages of using AI in events is its ability to provide personalised recommendations. By analysing attendee data such as past behaviour, preferences, and interests, AI algorithms can suggest relevant sessions, produce targeted marketing campaigns, and customise agendas based on this data. This not only enhances the attendee experience but also increases engagement with your event. 

2. Efficient Planning

Event planning involves a lot of moving parts – from managing budgets and logistics to coordinating with multiple stakeholders. With AI-powered tools like chatbots and virtual assistants, we can streamline administrative tasks by automating communication with delegates.  

3. Real-time Data Analysis

 Another significant advantage of using AI in events is real-time data analysis. By collecting data such as attendee feedback, social media interactions, and app usage during an event, AI can gather valuable insights into attendee preferences and behaviours. This information can be used to make necessary adjustments or improvements during the event itself. 

4. Streamlining Event Registration

Registration processes have traditionally been manual and time-consuming for both attendees and planners alike. But now with new technology, such as facial recognition technology, the way delegates can register for an event may slowly start to change. With this new technology, attendees can simply scan their faces or use biometric authentication to check into an event. 

Challenges and concerns surrounding the use of AI in events. 

While its potential to enhance and streamline various aspects of event planning and execution is undeniable, there are still challenges and concerns that need to be addressed. AI may be able to automate tasks such as data analysis and customer service, but it cannot replace human creativity and critical thinking, which is a major aspect of event planning and execution. Moreover, people will always crave human interaction and emotional connection to some level and that is something that cannot be replicated with the use of AI. 

Privacy and security also remain a top concern with the use of AI in events. As data collection becomes more prevalent through facial recognition technology or tracking attendee behaviour at events, this shouldn’t be done without strict security protocols in place to protect sensitive information. Furthermore, there may be resistance from attendees towards embracing new technologies at events, with some guests feeling uncomfortable with facial recognition scans or having their movements tracked within an event space.  

Our Thoughts... 

It’s evident that the development and integration of AI into the event industry are only going to get bigger and better. But to what extent it will grow and shape the events industry for us is still questionable. Will it be a new trend that planners all jump onto and then see it slowly fizzle out, or is there no way to avoid these advancements in technology? We look at virtual events and although they served a huge purpose during the pandemic, clients crave the interactions and face-to-face impact that come with live events. But will AI take over and become the new normal or will it be a great addition to what we have already in the events industry? We hope it’s the latter where its tools will offer us a way to revolutionise and streamline the data-driven logistical side of events, for both event managers and delegates.
